Find the Share Content panel
- From the Collaborate panel, go to the Share Content tab panel.
- Spacebar or select Share Content tab panel to open.
- Find the Share Content heading with keyboard shortcuts, the Tab key, or visually.
- Continue to navigate the panel to find the following features:
- Primary Content heading
- Share Blank Whiteboard button
- Share Application/Screen button
- Share Files button
- Secondary Content heading
- Polling button
- Interact heading
- Breakout Groups button
Share the whiteboard
- Go to the Share Blank Whiteboard button.
- Spacebar or select Share Blank Whiteboard button to open the whiteboard in the main content section.
- Focus remains in the Share Content panel on the Share Blank Whiteboard button.
- The notification text “Sharing whiteboard” appears below the Share Blank Whiteboard button and is rendered to screen reader users as “Sharing whiteboard, the whiteboard is being shared”.
Share an application or your screen
Applications need to be open to share them. If the application isn’t open, it won’t appear as an option to share.
- Go to the Share Application/Screen button.
- Spacebar or select Share Application/Screen button to open an operating systems dialog window or Share Application/Screen panel in Collaborate.
- Chrome and Edge open operating systems dialogs
- Firefox opens the Share Application/Screen panel in Collaborate
- Safari isn’t supported
- Follow the instructions in your browser to select an application or screen to share, including enabling Flash
- Focus remains in the Share Content panel on the Share Application/Screen button.
- The notification text “You’re sharing an application” appears below the Share Application/Screen button and is rendered to screen reader users as “[Presenter name] is sharing an application”.

Share files
Content shared from Share Files can be rendered to screen reader users, as long as the content of the shared file is accessible.
- Go to the Share Files button.
- Spacebar or select Share Files button to open the Share Files panel.
- Navigate the panel to discover the following features:
- Select to add image, PowerPoint, or PDF files button, visually displayed as Add Files.
- List of files grouped under the headings of Main Room Files and Breakout Group Files.
- These headings only appear if there are saved files.
- Main room files are files saved in the main room of the session.
- Breakout group files are files in breakout groups that are saved to the main room.
Add Files
- Go to the Select to add image, PowerPoint, or PDF files button, visually displayed as Add Files.
- Spacebar or select button to open the operating system file folder.
- Use standard commands to select a file from the computer.
- Uploading notification is displayed on the page and rendered to screen reader users.
- After the file is uploaded, it appear sunder the Main Room Files heading with the number of pages it includes.
- To share, Spacebar or select Share Now button to open the Preview Slides panel.
- Go to Slide 1 and Spacebar or select 1 to start share.
- Focus remains in the Share Content panel on the Share Files button.
- The notification text “Sharing [file name]” appears below the Share Files button on the Share Content panel and is rendered to screen reader users as “The whiteboard is being shared; the whiteboard is being shared [file name]”.
File options
- In the Share Files panel, go to [name] File options pop-up button.
- Spacebar or select [name] File options button to open the [name] File options menu.
- Continue to navigate the File options menu to find the following features:
- Remove file button
- Rename file button
Annotation tools
Annotations aren’t accessible to screen reader users without a person providing real-time explanation of what is appearing on the screen.
After a file or the whiteboard is shared, go to the main page to find the following functions:
- Select button
- Pointer button
- Pencil button
- Shapes pop-up button
- Rectangle button
- Ellipse button
- Line button
- Text button
- Clear button
- Colors pop-up button (appears when Pencil or Text are selected)
- Stop Sharing button (Presenter and moderator roles)
- Show View Controls toggle button
- Zoom in button
- Zoom out button
- Best fit button
- Actual size button
Select a button with the Spacebar or select button.
Speech-to-text users can use supplemental controls like Mouse Grid to add text or draw on the whiteboard or other shared content.
Stop sharing
- To stop sharing the whiteboard, application/screen, or files, go to the Stop Sharing button.
- Spacebar or select Stop Sharing button.

- Whiteboard: Notification text “Sharing whiteboard” disappears below the Share Blank Whiteboard button text and is rendered to screen reader users as “Sharing whiteboard. The whiteboard is no longer being shared”.
- Application/Screen: Notification text “[Person name] is sharing an application” disappears below the Share Applications/Screen button and is rendered to screen reader users as “application sharing stopped”.
- Files for presenters and moderators: Focus goes to the Share Files heading in the Share Files panel and is rendered to screen reader users as “Heading level 1, Share Files, main”
- Files for participants: Notification text “Sharing [file name]” disappears below the Share Files button on the Share Content panel and is rendered to screen reader users as “The whiteboard is no longer being shared”.
